TraceBoards is a SaaS productivity and client-work management app for freelancers, consultants, and small teams. This policy describes how we collect, use, store, and protect information when you use TraceBoards.

• Account data such as name, email address, login method, and profile details.
• Workspace data such as clients, contacts, companies, deals, notes, tasks, follow-ups, waiting items, tags, custom fields, files, and activity history.
• Manual payment tracking data you enter in TraceBoards (amounts, due dates, status, notes). We do not collect or store payment card or bank details through TraceBoards.
• Usage, log, and device data such as IP address, browser, session events, feature usage, error logs, and security logs.
• Support and contact data you send when requesting help, privacy assistance, or data deletion.

We use account information to create your account, authenticate you, manage your workspace, provide support, secure the service, and communicate about important account activity.

You may store client names, contacts, project details, notes, tasks, follow-ups, manual payment records, files, and related CRM information in TraceBoards. You are responsible for ensuring that you have the right to upload and process this information.

TraceBoards does not use artificial intelligence features. We do not send your prompts, notes, tasks, client data, or workspace content to AI providers for processing, training, or analysis.

TraceBoards currently does not offer an online payment gateway, checkout page, or in-app card processing. Any payment-related fields in the product are for your own manual tracking of client payments only. If paid subscription plans are introduced later, this policy and related billing pages will be updated before charges apply.

We may collect logs and usage information to keep TraceBoards reliable, diagnose errors, protect accounts, and improve the service. TraceBoards does not currently use third-party advertising or marketing analytics on the product.

• Provide, maintain, secure, and improve TraceBoards.
• Authenticate users and protect accounts.
• Store and sync workspace data across devices.
• Respond to support, privacy, and security requests.
• Send transactional account, security, and service-related emails.
• Investigate bugs, abuse, fraud, security incidents, and policy violations.

We do not sell your personal information. We may share information only as needed to operate TraceBoards, comply with law, protect rights and safety, or with your direction.

We use third-party service providers to help run TraceBoards. Depending on how the service is configured, this may include providers for hosting and infrastructure, database and authentication (including Supabase), email delivery, security, backups, logging, customer support tools, and other operational services we need to deliver the product.

These providers process information on our behalf and only as needed to perform their services. They may also process information under their own privacy policies and terms. We choose providers we believe are appropriate for the service, but we do not control all of their independent practices.

If we add new categories of third-party services in the future (for example payment processing, analytics, or marketing tools), we will update this policy when those services become relevant to users.

We keep information for as long as needed to provide TraceBoards, comply with legal obligations, resolve disputes, maintain security, prevent fraud, and support backups. Retention periods may vary by data type and legal requirement.

Users may request deletion of their account or personal data by contacting privacy@traceboards.com from their registered email address. We aim to process verified deletion requests within 7 days. Some limited information may be retained where required for legal, security, fraud prevention, dispute resolution, or record-keeping purposes.

Depending on your location, you may have rights to access, correct, export, delete, or object to certain processing of your personal information. Contact privacy@traceboards.com to make a request.

We use reasonable technical and organizational measures to protect information, including authentication, access controls, and database row-level security where applicable. No service can guarantee absolute security.

Your information may be processed in countries other than your own depending on our providers and infrastructure. Where required, we use reasonable safeguards for such transfers.

TraceBoards is not intended for children below the minimum age required by applicable law. Users should not submit children's personal data unless they have the required authority and legal basis.

We may send transactional emails for account verification, security, password reset, and product operation. Marketing emails, if sent in the future, should include an unsubscribe option.

We may update this Privacy Policy as TraceBoards changes. If changes are material, we may notify users through the app, email, or the website.
